Privacy Information Notice for customers and suppliers

 

We hereby submit the Privacy information notice of Orienta S.p.a. belonging to Orienta Group (hereinafter Company), which is necessary to protect your personal data, in accordance with the applicable rules.
The following information will allow you to understand:

  • what subjects process your data and how they can be contacted;
  • how your data are analysed and why;

Useful contacts

Orienta SpA is the Company that processes your data and, for legal purposes, it is considered as the Data Controller. In this capacity, it is required to apply technical and organisational measures that are necessary and adequate to protect your data. The Company’s headquarters are at Viale Luigi Schiavonetti, 270/300 – Rome – Italy.
The Data Processor, i.e. the designated person who collaborates with the Data Controller to apply identified protection measures, is the manager of the branch designated from time to time, domiciled at the Company’s headquarters.
The Company has also appointed the Data Protection Officer, who is required to ensure compliance with the rules for the protection of your privacy, and who may be contacted for issues pertaining to the processing of your data, using the following details (Viale Luigi Schiavonetti, 270/300 – Rome – Italy. Information on data processing

Please note that all your personal data will be processed in accordance with the current privacy rules; therefore, the Company undertakes to process them in accordance with the principles of fairness, lawfulness, transparency, for the purposes indicated below, collecting them as necessary and accurately to process your data, using personal data only for the authorised purposes and format and to ensure the necessary confidentiality of any information supplied. In particular, the Company collects, records, consults and generally processes your personal and identity details such as your name, surname, address, telephone, e-mail, exclusively necessary for the purposes established in the contract signed with your Company. In particular, the Company may use your data:

  • to comply with both civil and tax rules, European law, as well as provisions, codes or procedures approved by the Authorities and other competent institutes (e.g. tax and fiscal assessments, anti-money laundering);
  • to ensure the proper regulatory, technical and economic management of the contractual relationship;
  • to enforce or defend a right in Court, at administrative venues or in arbitration or conciliation proceedings in the cases established by law and by European law, regulations;

The processing of the aforesaid data is necessary to perform the contract; therefore, your refusal will prevent the establishment of the relationship.

Period of data storage

The Company will keep your data until contract conclusion and for 10 years thereafter (after this period, the rights arising from the contract will be lost).

Transfer and access to your data

The Company - without being required to ask for your consent – may communicate your personal data to a category of subjects specified, including:

  • Orienta Group Companies also outside the EU, for controls and staff selection activities.
  • third parties (e.g., banks, professional firms, consultants, Insurance companies for the supply of insurance services, etc.) that have been outsourced services by the Data Controller, in their capacity of external data processors;
  • Judicial authorities, Insurance companies for the supply of insurance services, as well the subjects to whom the law requires the communication of personal data. These subjects will process personal data in their capacity of autonomous Data Controllers.

 

Your rights

In relation to processed data, the Company guarantees your right:

  • to obtain confirmation of the existence of your personal data and their copy in an intelligible form;
  • to obtain the updating, rectification or integration of your data;
  • to request the deletion of your data, to the extent permitted by the rules, or to ask for their conversion into an anonymous form;
  • to object, in whole or in part, for legitimate reasons, to the processing of your personal data;
  • to limit data processing in case of a violation, request for rectification or objection;
  • to ask for the portability of electronically processed data supplied pursuant to your consent or according to contract;
  • to revoke your consent to data processing, where envisaged.

To this end, the Company provides you a specific form to send by an e-mail to the following address: [email protected] and thus submit your requests free of charge. Differently you can send it by mail to Orienta Privacy Office, Viale Luigi Schiavonetti 270/300, Cap 00173.
The Company undertakes to reply to your requests within one month, unless in case of especially complex issues for which it might take up to 3 months. In any case, the Company will give reasons for keeping you waiting within one month from your request.
The outcome of your request will be communicated in writing or in electronic format. If you ask for the rectification, cancellation or limitation of data processing, the Company will communicate the outcome of your request to each recipient of your data, unless this proves impossible or involves a disproportionate effort.Please be reminded that the revocation of your consent does not affect the lawfulness of data processing based on your consent prior to such revocation.
The Company specifies that you may be asked to pay a contribution if your requests are manifestly groundless, excessive or repetitive; in this regard the Company has adopted a registry to keep track of your requests.
